Every new broker relationship starts with a packet. Authority certificates, W-9, certificate of insurance, NOA from your factor, voided check, carrier profile — most brokers won't dispatch a load until every document is received, verified, and filed. That process can take days if you're chasing it yourself.
We maintain a complete, ready-to-dispatch digital folder for your carrier file. When a new broker needs a packet, we pull your documents, populate the questionnaires, request a custom COI from your insurance producer, sign electronically, and archive everything to your private Google Drive portal — typically the same day the request comes in.
Required Carrier Onboarding Documents
We maintain your complete carrier file so every document is ready when a broker requests a packet.
MC / FF / DOT Authority Certificate
Verifies your active operating authority. We keep a current copy on file and update it immediately after any authority changes.
Form W-9
Signed, dated, and updated for the current tax year. We track W-9 currency and flag when a new year requires an updated signature.
Certificate of Insurance (COI)
General Liability $1,000,000 — Auto Liability $1,000,000 — Cargo Coverage $100,000 minimum. Reefer breakdown endorsement verified where applicable. Broker listed as Certificate Holder on every custom COI we request.
Notice of Assignment (NOA)
Issued by your factoring company for direct payment processing. We coordinate with your factor to ensure the NOA is current and included in every packet for factored loads.
Voided Check or Direct Deposit Form
Required by direct-paying brokers for ACH payment setup. We maintain your banking document on file and include it with packets for brokers who pay direct.
Carrier Profile & Equipment List
Detailing truck and trailer specs, temperature control capabilities, and corridor preferences. We complete broker-specific equipment questionnaires using your profile so you don't have to fill out the same form repeatedly.
Step-by-Step Setup Workflow
Broker Vetting & Credit Check
Before initiating any packet, we run a mandatory credit check through our dispatch portal to verify the broker's credit score, days-to-pay history, and bond status. If a broker presents a credit risk, we flag it immediately before you commit to the load.
Packet Completion & Electronic Signature
Once the broker clears our credit check, we populate the broker packet, complete equipment profile questionnaires, and sign carrier agreements electronically via DocuSign or the broker's carrier portal.
COI Request & Dispatch
We contact your insurance producer directly to issue a custom Certificate of Insurance listing the broker as the certificate holder. We track COI turnaround and follow up with your producer if there's a delay.
Rate Confirmation Review
Upon packet approval, we secure the signed Rate Confirmation and verify all rate-per-mile and accessorial terms — detention start time, lumper reimbursement process, and layover rates — are clearly stipulated in writing before dispatch.
Google Drive Archiving
Every completed packet, signed rate confirmation, COI, and supporting document is uploaded to your private Google Drive portal. Your carrier file is always current, organized, and accessible from anywhere.

Accessorial protection on every rate con
Every rate confirmation is audited before dispatch to ensure standard detention policies — typically starting after 2 hours of free time — and lumper reimbursement processes are clearly stipulated in writing.
Credit check before every new broker
We never submit a packet to a broker we haven't vetted. Credit score, days-to-pay history, and bond status are checked before we initiate onboarding — protecting your cash flow from slow-pay or non-pay brokers.
Private Google Drive portal
All completed packets, certificates, and authority documents are continuously updated and archived in your private Google Drive portal for instant access. You always have a current copy of your carrier file.
